Introduction:
In this role I work in the Patient Services department of Gamma-Dynacare Medical Laboratories. Gamma is one of the largest medical laboratories in the country and within Southern Ontario, has a wide range of locations that the Patient Services department is responsible for.
My responsibilities as executive assistant for the Director of Patient Services and the accompanying executive team are varied. This has allowed me to learn about many different aspects of the company.
Accomplishments:
When I stepped into the role of executive assistant, which is a 4 month contract, I was able to spot some key inefficiencies that could be improved.
In Patient Services we take calls from everyone from Doctor’s Offices to Patients. One of the main calls I receive involves the set up of Doctor’s Offices to receive their lab results electronically. In order to make this a quick and efficient call, I created an Excel template to complete for every request. This has made things a lot easier for both myself, and the IT department who take the information in order to create the accounts.
Another key responsibility is keeping locations stocked with key every day supplies. If an executive requests supplies for a location, it is important to keep track of what is on order and what has been sent. I created an Excel spreadsheet in which I could log all this information and keep track of what supplies had gone where. The spreadsheet has been a help in keeping all those requesting supplies up to speed on what they have sent and when.
I have also been assisting with key executive projects by extracting and compiling data from different programs in order to assess what areas we could improve upon to help grow business. A major part of this was compiling location data and generating a map in Streets & Trips, of all the locations in Southern Ontario, including regional boundaries and distinguishing between the different types of location.
This role has also had a lot to do with general customer service, in which I field many calls from Patients and Clients alike. Many asking for information in regards to accounts, services, etc. As I have had a lot of experience in the customer service field from past positions, I have been able to help assist even the toughest of customer queries, responding in a timely and professional fashion.
Thus far, I have thoroughly enjoyed my role in Gamma, and look forward to making my mark at the next company I work for.
